What happens to what you send us.
This page covers the enquiry form on this site. It is short because the form does very little: it sends us an email so we can arrange a walkthrough. Nothing is added to a mailing list, and this site sets no cookies.
Who is asking
CommSync is built and operated by Acuity AI in Ireland. For anything you send through this site, Acuity AI is the data controller. You can reach us at hi@vatreminders.ie.
If your practice becomes a customer, the client data CommSync then handles is a separate matter, governed by a data processing agreement between your practice and Acuity AI. That agreement, not this page, is what covers your clients' information.
What the form collects
- Your name
- So we know who we are writing back to
- Practice
- So we arrive at the call knowing which firm you are
- Work email
- To send the invitation and reply to you
- Client numbers
- Optional. A rough band, so we can tell you quickly if you are the wrong size for this
- Your note
- Optional, and only what you choose to type
That is the whole list. There is no hidden field, no IP logging of your own, no analytics identifier and no third-party script on this page.
Please do not put client details in the note. If you want to describe a situation, keep it general. We do not need a client's name to have a useful first conversation.
Why we hold it, and on what basis
One purpose only: to arrange and hold the walkthrough you asked for, and to reply to you about it. The legal basis is our legitimate interest under Article 6(1)(f) of the GDPR in responding to a business enquiry you sent us. Where the conversation moves towards a contract, Article 6(1)(b) covers the steps taken at your request.
We do not use it for anything else. No newsletter, no marketing list, no profiling, no automated decision-making, and we do not sell or share it with anyone for their own purposes.
Who else touches it
Two processors, both doing the ordinary job of moving and holding an email:
- Brevo (Sendinblue SAS, France) sends the notification email from the form to us.
- Microsoft 365 holds the mailbox that email lands in, and the correspondence that follows.
Nobody else. The form does not write to a database, and the enquiry is not stored anywhere on this website.
How long we keep it
If you become a customer, the correspondence is kept for as long as we work together and for six years afterwards, which is what Irish limitation and tax record-keeping practice expects of us.
If you do not, we keep the enquiry for 24 months so that a later conversation starts where the last one finished, then delete it. You can ask us to delete it sooner and we will, without asking why.
Cookies and tracking
There are none. No analytics, no advertising pixels, no embedded video, no fonts loaded from anyone else's server, and no cookie banner because there is nothing to consent to. The only requests this page makes are to this domain.
Your rights
You can ask for a copy of what we hold, have it corrected, have it deleted, restrict what we do with it, object to us holding it, or have it sent to you in a portable form. Email hi@vatreminders.ie and we will deal with it within one month.
If we handle it badly, you can complain to the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28 — dataprotection.ie. We would rather you told us first, but that is your right, not our permission to give.
